Key points
Four points for a sound decision
- Scope of services and exclusions must be visible side by side.
- A backup only counts when its storage location, retention and recovery procedure are clear.
- Automatic updates without verification and rollback procedures are not controlled operations.
- Fair costs reflect risk, frequency and responsibility – not just the number of plugins.
- 01Assess the existing setup
- 02Define responsibilities
- 03Define the protection profile
- 04Document results
Our own process illustration · not a generic vendor guarantee · the actual process depends on the website and service profile.
01
Which services belong in the contract?
At a minimum, the agreement should cover WordPress, plugin and theme updates, off-site backups, technical availability checks, a defined support channel and traceable documentation. What matters is not just mentioning a task, but specifying how often it runs and how success is determined.
Kayba deliberately differentiates its profiles: Care checks availability every 15 minutes and backs up databases and files daily. Business checks every 5 minutes, backs up the database every 12 hours and files daily. Premium checks every minute, backs up the database every 6 hours and files every 12 hours. Retention is 14, 30 or 60 days depending on the plan.
- Update and verification intervals
- Backup interval and off-site destination
- Aufbewahrungsdauer
- Support and escalation procedures
- Reporting frequency and level of detail
02
Which limits must be stated explicitly?
Maintenance does not replace legal advice, editorial services, search engine optimisation or unlimited development work. A public website check is not a complete code, security or privacy audit either. These limits protect both parties from unrealistic expectations.
The onboarding decision must also consider whether the website can be maintained technically. Outdated runtimes, unlicensed premium plugins or already compromised systems may first require a separate remediation project. Responsible onboarding may therefore be declined or approved subject to conditions.
03
How can prices be compared fairly?
Do not compare only the monthly amount. Check whether VAT, setup, premium licences, restores and additional development work are included or charged separately. Also ask whether a specific person or only an anonymous platform is responsible.
Kayba publishes plan prices and one-off setup costs transparently. Before a contract, the free check assesses publicly visible risks; the final scope remains subject to technical onboarding. This avoids the false precision of a price calculator that has never examined the website.
